Questions and answers

Straight answers about VaxiTrace.

What it does, what it costs, who can see your records, and what it is not. If your question isn’t here, ask us.

What is VaxiTrace?

VaxiTrace keeps every vaccination, treatment and other animal-health event for your livestock in one digital record. You record what happened, set follow-up dates and get reminders, and can share an animal’s recorded history with your vet or a buyer. It works on any phone or computer, and keeps working offline after your first online visit.

How much does VaxiTrace cost?

It is free for up to 20 animals. Paid plans are $7 a month (Small Herd), $17 a month (Growing Herd) and $39 a month (Commercial), in US dollars. Paying for 3 or 12 months saves 10% or 20%, and nothing renews by itself.

Who can use VaxiTrace?

Livestock owners of any size, from a family with a few goats to commercial farms, plus the herders who look after their animals. Vets and animal-health professionals can join a farmer’s farm or register as a provider, and associations, co-ops and livestock programmes can give VaxiTrace to their members.

Which animals can I record?

Any livestock: cattle, goats, sheep, pigs, chickens, ducks, turkeys, guinea fowl, ostriches, rabbits, donkeys, horses, mules and farmed game. Record them one by one, or a whole flock as one record. On plans, 10 birds or rabbits count as one animal.

Does VaxiTrace work without internet?

Partly, yes. Connect to the internet the first time you open VaxiTrace on a device and sign in. After that you can look up your animals and add animals, records, check-ins and completed reminders offline. Your changes sync when you reconnect. Signing up, sharing a passport, payments and email reminders need a connection. Add VaxiTrace to your home screen like an app; nothing is installed from an app store.

How are animals counted on a plan?

Each animal counts as one, and a flock or group counts by its head count. Chickens, ducks, turkeys, guinea fowl and rabbits count 10 to 1, rounded up for each group. Example: 12 cattle, a flock of 30 goats and 100 chickens count as 12 + 30 + 10 = 52 animals, which is more than the free plan’s 20, so you would need Small Herd.

Which African countries does VaxiTrace support?

Farmers anywhere in Sub-Saharan Africa can sign up. VaxiTrace is built in Botswana, and Botswana, South Africa, Namibia, Zimbabwe, Zambia, Lesotho, Eswatini, Mozambique, Malawi and Angola have their districts or provinces built in. Kenya, Tanzania, Uganda and other countries work too: you type your own region. Prices are charged in US dollars, with a guide in pula, rand, shillings, kwacha and other currencies. Local-currency and mobile-money payment are not available yet.

Can I record vaccinations and treatments?

Yes. Record vaccinations, treatments, deworming, vet visits, observations and other health events with the product, batch, dose and who gave it. Record once for a whole group, and set the next date for a reminder.

Can I manage several farms or a remote cattle post?

Yes. On the Small Herd plan and up, keep each farm or cattle post separate and invite your herder to record treatments and log herd check-ins. You get an email if a check-in reports missing animals. VaxiTrace does not track animals by GPS.

Who can see my records?

Only you and the people you invite, such as your herder or vet. Private notes, contact details and change history are encrypted on our servers. Buyers see a passport only when you share it, and never your name, phone number or farm.

Can a buyer check an animal’s health history?

Yes, if you share its passport. Each animal has a passport code and QR code. A buyer can check it free on vaxitrace.com without an account and see the vaccinations and treatments recorded for it, which records a vet checked, and any withdrawal period the owner recorded. Buyers should still check veterinary, movement and sale requirements for themselves.

Does it tell me when to vaccinate?

No. VaxiTrace does not give veterinary advice. You or your vet choose the dates, and VaxiTrace reminds you of them. It does not diagnose animals or recommend treatments.

Can veterinarians use VaxiTrace?

Yes. A farmer can invite their vet to a farm to enter or confirm records, which then show as vet-checked with the vet’s name. Vets and other animal-health professionals can also register a provider profile, which we check against the official register before it is listed.

Is it an official document?

No. It is your own record-keeping. It is not an official veterinary certificate or a movement permit, it does not guarantee that an animal is disease-free, and it is not connected to BAITS or any other government livestock system. Records show who entered them: farmer-entered, professional-entered or vet-checked. Rules differ between countries, so keep the official documents your country requires.

Can I take my records with me?

Yes. Download any animal’s history, your health records or a full export of your data as a spreadsheet at any time, on every plan, including the free one.

How do I pay?

By bank transfer, in US dollars. You get our bank details at checkout, and your plan switches on once we confirm the payment. Your bank may charge transfer or currency-conversion fees. Nothing renews by itself.

Can I cancel my subscription?

Yes, at any time, and there is nothing to cancel: plans are paid for 1, 3 or 12 months and never renew by themselves. Switch to the free plan whenever you like. Your records are never deleted.

What if my plan ends?

Nothing is deleted. Your records become read-only until you renew, and you can still download everything.

Do you work with associations, co-ops or livestock programmes?

Yes. Associations, co-ops, livestock programmes, vets and farm suppliers can give their members VaxiTrace. It starts with a free 3-month pilot: we give you one join link to share, and at the end you get a summary of how many members joined, how many animals they recorded and how many are up to date. After that, a yearly licence per active member. See the For organisations page.

I got a VaxiTrace link from my association. What does it mean?

Your association, co-op, vet or supplier is paying for your plan. Open the link and sign up, or log in, to get a paid plan at no cost to you until the date shown. They only see totals, never your records. When it ends, you keep everything and can stay on the free plan.
